Using AI for Meeting Minutes Safely: Privacy and Accuracy

AI can turn a transcript into a first draft in minutes, as long as you stay in charge of accuracy and confidentiality.

What AI can do

Models such as Google Gemini can read a transcript, notes, images or an audio recording and organize it into sections, decisions and action items. That removes much of the formatting work and gets you to a draft quickly.

What stays your job

  • Accuracy. AI can mishear, misattribute or invent. Check every name, figure, date and decision against your notes.
  • Confidentiality. Decide whether the meeting may be processed by a third-party service.
  • Judgment. You decide what belongs in the official record.

Keeping information safe

  • On Notulen.org, your text and files go straight from your browser to Google's Gemini API using your own key. They do not pass through our servers and we do not store them.
  • Google still processes the data under its own terms. Check your employer's or organization's policy before uploading anything confidential, personal, privileged or commercially sensitive.
  • If you handle personal data in the UK or EU, think about your data protection obligations before sending it to any processor. Use the manual mode or anonymize details when in doubt.
  • Don't tick “remember key” on a shared computer, and rotate your API key if you suspect it has been exposed.

Getting better drafts

  • Add a short list of correct names, acronyms and project terms in the extra notes.
  • Upload photos of handwritten notes as an additional, more reliable source.
  • Use the instructions box: “Record motions, movers and vote results”, “Use job titles instead of names”, or “Limit to eight sections”.

Checklist before you download

  1. Names and titles are correct.
  2. Numbers and dates match the source.
  3. Decisions are separated from discussion.
  4. Actions have owners and dates.
  5. Nothing confidential has slipped in that shouldn't be shared.
